How to Place a Business Letter in an Envelope Correctly
The volume of ordinary mail sent every day through the post office has been drastically reduced by electronic mail. Although email has many advantages for most business correspondence, there are still many circumstances when traditional "snail-mail" is preferred, such as when original signatures are necessary. These business letters are typically written in a more official manner than email messages. To fit a business letter into a business-sized envelope, it is required to follow rules in both letter format and letter folding.
Fold the bottom edge of the letter up slightly.
Place the letter flat on the table, right-side up. Place the ruler on one of the letter's sides. Align the ruler's end to the top of the page. Lightly fold the bottom edge of the letter up until it touches a point on the ruler that is one-third the length of the letter from the top edge. For example, if the page is 11 inches long, 1/3 from the top will be 11 inches divided by 3 = approximately 3.5 inches. Do not push this fold forcefully yet.
Fold the top edge of the letter down.
Fold the top edge of the letter down until it matches the folded edge formed in Step 1. Align all of the letter's edges, making sure they are exactly straight. Crease the paper firmly along both folded edges.
Place the letter in the envelope.
With one hand, open the business envelope flap. Hold the letter in your other hand so that the top of the letter is at the top of the letter. Put the letter in the envelope.
Insert one bottom corner of the long end of the letter into the mouth of the envelope, then the other side, if the envelope has the opening on the longer side. If the aperture is on the short end of the envelope, insert one short end of the letter into the mouth. The envelope should be sealed.
Tips to
When using envelopes that open on the short end, it is simpler to insert the letter if you hold the envelope slightly open by placing your thumb and forefinger on either side of the envelope and slightly bringing your thumb and finger nearer each other. This will enlarge the envelope's aperture.
Warnings
Handle the paper with care or you will receive a paper cut from the edges.
